Telling vendors no

How you decline matters more than it seems — you will likely go to market again.

The short version: Tell unsuccessful vendors promptly and give one specific reason. It costs you ten minutes and buys goodwill you will want next time.

Be prompt

Vendors hold resources for a live opportunity. Leaving them uncertain for weeks after you have decided is discourteous and remembered — and behavioural health is a small market with long memories.

Give one real reason

"We selected another vendor" tells them nothing. "Your response did not meet our requirement for offline mobile documentation, which was essential for our community-based teams" is useful to them and reflects well on you.

You are not obliged to share scores or pricing, and generally should not.

Keep the second choice warm

Contracts fall through. Implementations fail. Tell your second choice they were close and that you would welcome them next time — then mean it.
